Delivery and Returns: What Actually Happens
No glossed-over logistics — just what the process actually looks like
Most delivery and returns pages are written to reassure rather than inform. This one is written to do both. It covers the standard process, the edge cases, and the situations where the outcome is not what a customer hoped for. Reading it before purchasing is worth the five minutes.
From order to dispatch
An order confirmation email is sent automatically at the time of purchase. That email confirms the items ordered, the delivery address on file, and the order reference number. It is not a dispatch confirmation — the order has not yet left the warehouse at that point.
Before any reformer is handed to a courier, it goes through a pre-shipment quality check. Details of what that inspection covers are on the pre-shipment QA page. The purpose is to catch packaging faults, hardware shortfalls, or visible frame issues before the unit leaves the Darra warehouse.
From the time an order is placed, the typical window from order confirmation to courier handoff is 1–3 business days. Orders placed on weekends or public holidays begin processing on the next business day. A separate dispatch confirmation email, including a tracking number, is sent once the courier has collected the item.
Brisbane metro delivery
Reformers delivered within the Brisbane metro area are couriered directly to the delivery address. Delivery occurs Monday to Friday, 8am–6pm. There is no weekend delivery service.
Delivery to Brisbane metro addresses is free on orders of $500 AUD or more. The tracking number provided at dispatch can be used to monitor the consignment through the courier's portal. Couriers deliver to the door; they do not carry items inside or up stairs unless a tailgate or two-person service has been arranged separately.
Nationwide delivery
Orders outside Brisbane metro are dispatched via a freight network. Transit times vary by destination:
- South-East Queensland: 2–4 business days
- Sydney and Melbourne: 4–7 business days
- Adelaide and Canberra: 5–9 business days
- Perth, Darwin, Hobart, and regional areas: 7–14 business days
These are estimates based on typical freight performance, not guarantees. Delays caused by the freight carrier, weather events, or public holidays are outside Zenith Pilates's control.
Freight rates are calculated at checkout based on the dimensions and dead weight of the specific reformer model ordered, plus the delivery postcode. As a general guide, freight for a single reformer to most capital cities falls in the range of $80–$250 AUD. The exact figure is shown before payment is taken.
What can go wrong on delivery
The following scenarios are uncommon but they do occur. Knowing the process in advance makes resolution faster.
Damaged packaging on arrival
If the outer carton shows visible damage — crushed corners, punctures, or signs of impact — photograph the packaging before opening it. Then photograph the contents. Contact Zenith Pilates within 48 hours of delivery with those photos and the order reference. Damage reported outside that window is significantly harder to resolve with the freight carrier. Depending on the nature of the damage, the resolution will be a replacement part, a replacement unit, or a repair — assessed case by case.
Missed delivery
If no one is available to receive the delivery, most couriers will leave a card with redelivery or collection instructions. One redelivery attempt is typically included at no charge. If a second redelivery is required, the carrier may apply a fee, which is passed on to the customer. Arranging to be available, or nominating an authority-to-leave instruction at checkout where available, avoids this.
Wrong delivery address
The delivery address entered at checkout is the address used. If an error is noticed after the order is placed but before dispatch, contact Zenith Pilates immediately using the order reference — corrections can usually be made within the 1–3 business day pre-dispatch window. Once the item has been collected by the courier, address changes become a freight redirect, and redirect fees charged by the carrier are the customer's responsibility.
Returns reality
Change-of-mind returns are accepted within 30 days of delivery, subject to the following conditions:
- The item must be unassembled — in its original packaging, with all hardware and components present
- The return must be initiated by contacting Zenith Pilates before the 30-day window closes
- Return freight is the customer's responsibility
Return freight for a reformer typically costs between $100–$300 AUD depending on the origin postcode and carrier used. Zenith Pilates does not arrange or subsidise return freight for change-of-mind returns.
Once the returned item is received and inspected at the Darra warehouse, a refund is processed within 5–7 business days. The refund is issued to the original payment method. Original outbound freight costs, where applicable, are not refunded.
Assembled or used items
A reformer that has been assembled cannot be returned for change-of-mind. Assembly constitutes use for the purposes of the returns policy. This applies regardless of how little the item has been used after assembly.
This is not a technicality designed to catch customers out — it reflects the practical reality that a disassembled return can be inspected and restocked, and an assembled one cannot be sold as new.
The practical recommendation: unbox the reformer and inspect all components, the frame finish, and the hardware pack before beginning assembly. If anything is missing or visibly wrong, contact Zenith Pilates at that point. Warranty claims are not affected by assembly status — see the section below.
If you have a defective unit
All Zenith Pilates reformers carry a 12-month warranty covering manufacturing defects in materials and workmanship. If a fault is identified:
- Contact Zenith Pilates within 7 days of discovering the fault
- Provide the order reference, a description of the fault, and clear photographs
- Do not continue using the unit if the fault affects structural integrity or safe operation
The resolution — repair, replacement part, replacement unit, or refund — is determined by Zenith Pilates based on the nature and severity of the defect. The warranty does not cover damage from misuse, modification, or normal wear to consumable components such as springs and straps beyond expected service life.
For all delivery and returns enquiries, include the order reference number in the first contact. It is the fastest way to locate the order and move to resolution.
